During the pre-sales stage of the project, the firm will have worked closely with the Pilgrim account manager to identify the business benefits that LawSoft® will deliver.

This phase of the project will see the solution implemented within the firm. Like the account managers, all of Pilgrim's implementation team have vast experience of working with law firms and know how to ensure the project's success.

The implementation timetable is likely to be in the region of six to nine months, and will include the following major elements:
 
 

Project Management
Pilgrim will appoint a Project Manager who will have overall responsibility for delivering the solution on-time, to budget and with the agreed business improvements realised.

Implementation Planning
The implementation planning stage of the project involves detailed discovery of the firm's current processes, agreement of which of these will be automated via electronic workflows and task lists, agreement of the parties responsibilities and the establishment of the agreed project plan and timeline. Importantly, this phase of the project will agree the business benefits LawSoft® is to provide and establish procedures to ensure these are maximised.

Business Analysis
In the initial stages of a case or matter management project Pilgrim will work with key client personnel to create an application specification that will form the design rules for the project. The specification will include workflow diagrams, database screen descriptions and a list of all document types to be included.

Consultancy
Where the client is implementing a case or matter management solution Pilgrim consultants will work with client staff to design workflows, create database screens, data enable documents and ensure the solutions created meet the business areas’ expectations.

Software Installation
Pilgrim's system engineers will attend the firm's offices and, working with the firm's IT staff, will install LawSoft® on the hardware environment and test it is fully operational.

Data Cleaning and Conversion
Pilgrim will extract data from the firm's current system and convert this to a format compatible with LawSoft®. As part of the conversion process Pilgrim will write electronic de-duplication and cleansing routines, to the extent this is programmatically possible. There will be a full trial conversion well in advance of the 'go-live' one and Pilgrim and the firm will ensure that all data is converted accurately, reconciled and balanced before the decision to go live is taken.

Training
Training courses will be delivered by Pilgrim in accordance with the agreed plans. Training can either be provided for the entire organisation or on a 'train-the-trainer' basis. For maximum flexibility and reduced costs, Pilgrim can also provide shorter training sessions via Webex, an online environment that unlimited participants from the firm can attend.

System/Acceptance Testing
There will be a formal process to test all functions of LawSoft® are working as specified and in accordance with any special provisions between the firm and Pilgrim. The project will not proceed until both parties are in agreement that the system is functioning as specified.
